Mileage

Mileage is a key expense for many sellers. It is tracked separately from the main Other Expenses page for ease of accounting. This information will be added to the Reports > Profit and Loss report in the Other section at the bottom. These amounts are not used in the net profit or loss calculations and are only displayed for your information.

On the Accounting>Mileage page, you can add, import, edit and delete mileage expenses.

The default view of this page shows all mileage entries. The Advanced Search can be utilized to view the entries within a specific timeframe or a custom date range.

You can Export any view you select.

Adding Mileage Entries Manually

Clicking + Add brings up the window below where you can enter the date the mileage expense occurred, the description, and the number of miles driven.

The number of miles is then automatically multiplied by the current IRS mileage rate and converted to a dollar amount for the expense to be recorded.

For example, the 2020 mileage rate is $0.575 per mile. If you change the date to a past year, that year's millage rate will reflect:

Importing Mileage Entries

If you have multiple mileage entries to add, you can import a .CSV file to add them in bulk. To make sure your file has all of the columns you need, download the template attached to the bottom of this article.

Note: Unlike importing into the Inventory > FBA & Merchant pages or other areas of Accounting, importing into Mileage is an ADD ONLY capability. It will not update data for existing mileage entries.

For example, if you export your Mileage, make changes, and import it back in, you will end up with duplicate entries for everything.

When you import into Mileage, your .CSV file should contain 3 columns which will correspond to:

  • Round Trip Miles

  • Date

  • Description

The actual mileage expense will be automatically calculated based on the year's IRS mileage rate upon import.

Click the Import button:

Select the .CSV file from your computer that contains the mileage data you would like to import and click Next.

On the next screen, match the fields in InventoryLab to the columns in your file and click Next.

That’s it! You should now receive an Import Success message. Click OK to dismiss it.

Depending on the size of the file, it can take up to 20 minutes for the import items to appear.

Editing and Deleting Mileage Entries

To edit an existing mileage entry, click the checkbox next to it. You can also click the checkboxes next to multiple entries to edit them in bulk, or click the top checkbox to edit all the entries at once.

Once selected, click the Action on selected button towards the top of the page, and click Edit from the menu.

A window will open on the right side of the screen where you can make changes to the miles, date, and description for the entries selected. Once done, click Save.

To delete a mileage entry, click the checkbox next to it. You can also click the checkboxes next to multiple entries to delete them in bulk, or click the top checkbox to select all the entries if needed.

Once selected, click the Action on selected button towards the top of the page, and click Delete from the menu.

You will be asked to confirm if you'd like to delete the selected entries. Click Yes to proceed.
